Academic Year Appointment Dates/Conversion Factors

Salary Conversion Factors

To convert an Annual Year (AN) salary to an Academic Year (AY) salary: Multiply the AN salary by 9/11.

To convert an AY salary to an AN salary: Multiply the AY salary by 11/9.

The ratio 9/11 is used rather than 9/12 because faculty members on an academic year appointment work nine months during the academic year and do not earn vacation. Faculty members on an annual year appointment work eleven months with one month (22 days) vacation. Thus, eleven months of work is used in the comparison.

Duty Period vs. Pay Dates

Effective August 16, 2010, the pay period for AY appointments will reflect the duty period, August 16 - May 15. The pay period dates are listed below.

Spring

Jan 1 - May 15

Appointment

AY appointments normally begin on August 16. Based on individual circumstances, an AY appointment may begin on any date during the AY duty period, August 16 - May 15.

Fixed term AY appointments must end on August 15.

A faculty/academic staff member appointed on an AY basis effective January 1 will receive salary for 4.5 months (January 1 through May 15) for spring semester.

Load and Salary

AY summer semester dates are established annually. Reference the Summer Semester Appointment Procedures memorandum sent annually to Deans, Directors and Chairpersons.

Change of Status

Changes from AY to AN or from AN to AY are normally effective August 16, but may occur on any date during the AY duty period, August 16 - May 15. In the case of an administrative assignment, an exception to the begin date may be made by the Provost based on rationale for the change.

Changes in salary distribution, percent employment, etc. of AY faculty/academic staff reflect the actual period of the change during the duty period, August 16 - May 15.
