New ACA Tax Filing Requirements

Due to new IRS reporting rules from the Affordable Care Act, Michigan State University is required to ask for social security numbers for any employee or dependent covered on an MSU health insurance plan.


Price Changes for Eat at State Dining Plans

MSU offers award-winning meal options all across campus. The Faculty and Staff DineOn 10+ plan allows employees to purchase a minimum of 10 meals at a time for the price of $5.99 plus tax per meal. Effective August 22, 2015, the price will increase to $6.25 plus tax. Read more.

Retirement Plan Core Investment Menu Update

MSU reviews the investment options available through the new 403(b) Retirement Plan and the new 457(b) Deferred Compensation Plan accounts to make sure we continue to help MSU employees meet their financial goals and investment objectives. As a result, we have made updates to the core investment menu options that will be effective in October 2015.


MSU ID Office: Your Key to Spartan ID Cards and NetIDs

The MSU ID Office is responsible for the provisioning and maintenance of MSU ID cards and MSU NetID authentication. The office also provides support for a wide variety of services tied to ID Cards, including electronic access control to buildings and parking gates, employee bus passes, MSU Library services, Spartan Cash, and residence hall meal plans. Reference Check Guidelines

There are federal laws, Michigan laws and university guidelines that impact how and when you can provide reference information for faculty, academic staff, support staff, graduate assistants and student employees. Some employee types require a signed release and some information cannot be revealed. Read more.


MSU Coordination of Needs Calendar

Each year a committee of MSU departments meets to discuss back-to-school events/dates that will impact the university as a whole. The committee develops a coordination of needs calendar to cover gaps in communication between departments. View the calendar here.


The Big Event - Unclaimed Prizes

Inspirational Woman of the Year Award

The MSU Women’s Resource Center is now seeking nominations for the Inspirational Woman of the Year Award. If you know an inspirational woman you believe should be recognized for her commitment to Michigan State University and the community, we encourage you to nominate her.

The award recognizes the achievements of women staff and faculty affiliated with MSU. The award highlights woman-identified individuals who demonstrate integrity, leadership, quality performance, integrative and inclusive action, and influence on campus and in the community. Three individuals will be honored—one in each nomination category as outlined in the application. Award winners will be recognized in March 2016. The deadline for nominations is Friday, October 23, 2015. Learn more.

Important I-9 Guidelines

As we gear up for fall hiring, MSU HR would like to remind you of the following I-9 guidelines:

  • New I-9s: Complete a new electronic I-9 for all new hires. Please provide the following information to the new hire: 
    • Link: www.hr.msu.edu/I9 then select ‘Click here to access MSU’s online I-9 System’
    • Employer Code: MSU’s Employer code is 16628
    • Location Code: The location code is the same as the department code (Organization ID) for the department in which the new employee has been hired
  • I-9 Deadlines: 
    1. Section 1 of the I-9 must be completed by the employee on or before their date of hire
    2. Section 2 of the I-9 must be completed by the verifier with the employee present within 3 business days of the date of hire
  • Pending I-9s: Check the Quick Search Pending Inbox often
  • Documentation: Remind employees to bring in proper original documentation to complete Section 2 of the I-9
  • Date of Hire: Set an accurate date of hire to avoid missing deadlines and being fined

Return of the Student Excess Hours Report

MSU Human Resources will be returning to the practice of running the Student Excess Hours report each payroll cycle effective Thursday, September 17. The student excess hours report identifies student employees who work in excess of the 29 hours per week they are allowed to work for MSU during the academic year. For international students, the limit on working hours is 20 per week. Because student employees are allowed to work more hours during summers, this report typically is not run during the summer months but resumes with the start of the academic year. Read more.
