Data Definitions (HRP1114)

The data columns used in the Faculty, Academic and Support Staff Terminations or Changed Organizations reports are defined on this page.

Data columns for the employees who moved to another unit report:

  1. Organization Code – Name Old: The primary college or MAU in which the employee was previously assigned and moved from.
  2. Department Code – Name Old: The primary department in which the employee was previously assigned and moved from.
  3. Sub Org Code – Name Old: The sub-org in which the employee was previously assigned and moved from (if applicable).
  4. Personnel Number (PERNR): An HR/Payroll system generated number linking a person to an assignment. A person with concurrent employment will have multiple PERNRs but only one PERSID.
  5. Person Name: The employee’s name as indicated in the HR/Payroll system.
  6. MSU Net ID: The employee’s MSU Net ID as indicated in the HR/Payroll system.
  7. Age at Termination:  The employee’s age at the time of termination as indicated in the HR/Payroll system.  
  8. Gender:  The employee’s gender as indicated in the HR/Payroll system. 
  9. Race/Ethnicity:  The employee’s race/ethnicity as indicated in the HR/Payroll System.
  10. Employee MSU Email: The employee's MSU email address (@msu.edu)
  11. Job Title Old: The employee's primary job title or classification in which the employee was previously assigned.
  12. Employment Percent Old: The percent of employment that the employee was previously working.
  13. Contract Name Old: The previous work contract: Fixed Term, Tenure/Contin, Contract, Roll/Fixed Cntr (if applicable).
  14. Off Campus Location Old: The employee’s previous off-campus work location (if applicable).
  15. Supervisor Name Old: Name of employee’s previous supervisor as indicated in the HR/Payroll system.
  16. Supervisor Email Old: The employee’s previous supervisor’s MSU Email address (@msu.edu)
  17. Organization Name New: The new primary college or MAU in which the employee is assigned.
  18. Department Code – Name New: The new primary department in which the employee is assigned.
  19. Sub Org Code – Name New: The new sub-org in which the employee is assigned (if applicable).
  20. Job Title New: The employee's new primary job title or classification in which the employee is assigned.
  21. Contract Name New: The employee’s new work contract: Fixed Term, Tenure/Contin, Contract, Roll/Fixed Cntr (if applicable).
  22. Employee Primary Assignment Start Date New: Start date of employee’s new primary assignment.

 

Data columns for the employees who terminated or retired report:

  1. Organization Code - Name: The primary college or MAU in which the employee was assigned.
  2. Department Code - Name: The primary department in which the employee was assigned.
  3. Sub Org Code - Name: The sub-org in which the employee was assigned (if applicable).

  15. Personnel Subarea Code: A further breakdown of the Personnel Area. The principal organization aspects of HR are controlled at this level, including work schedules, pay scales, public holiday calendar, and wage types.
  16. Employee Group Name: Union, Non-Union, Non-Employee/No Pay. The employee group allows you to divide your employees into groups and allows you to define their relationship to the enterprise. It classifies employees into general groups for processing of Payroll, Time and Benefits.
  17. Employee Subgroup Code - Name: A further breakdown of Employee Group. All control features of the Personnel Structure are defined at the Employee Subgroup level including specific payroll calculations for hourly or salaried employees, work schedules, and benefit groupings.
  18. Action Start Date: The effective date of the action on the employee record.
  19. Action Type Code - Name: The type of action entered on the employee record in the HR/Payroll system.
  20. Action Reason Code - Name: The reason why the action was entered on the employee record in the HR/Payroll system.
  21. Employment Status Name: The employment status identifies whether the employee is an active or inactive employee or withdrawn from employment at the university.
  22. Supervisor Name:  Name of supervisor as indicated in the HR/Payroll system.
  23. Supervisor Email: The supervisor’s MSU Email address (@msu.edu)
