The AHRforms web application (Pre-Populated Forms application) must be used to produce this form.
After logging into the pre-populated form, select the Academic Position Request, Fixed-Term form to create and post a fixed term academic position request. For a tenure system or continuing system form select Academic Position Request -Tenure System / Continuing System academic position request. See "When to Use the Academic Hiring Procedure, and When to Use a Waiver" to determine whether the position should be posted. The information shown on the Academic Position Request form and in the advertisement must match the position characteristics which will be submitted later on the Appointment/Reappointment form.
Position #: If the new appointee will be in the same position as the previous incumbent, use the previously assigned position number. If not, any of the college's existing numbers which are not attached to a filled position can be used for the position. Fill in the complete position number (the numeric MAU designation and the number). If the college has no free position numbers, Academic Human Resources will assign and fill in a new position number.
Position/Rank/Title: Select a university approved academic position/rank. For more information on positions/ranks and titles that can be used, see "University Approved Academic Position.Ranks" and "University Approved Academic Titles".
If the specialist position is selected, you will be prompted to type the duties that support the specialist function. For example, if you select Specialist Advisor, you will be prompted to type the duties associated with advising.
Job HERC Categories/Sub Categories: Approved MSU faculty and academic staff position descriptions posted to the MSU/HR website will also be posted to the Higher Education Recruitment Consortium (HERC) website. Please use the drop down box to select the HERC job category that best fits the position description to be posted. If you would like more information about HERC, you may visit their website at http://michiganherc.org.
Duties: For all tenure system positions and for other positions if applicable, the position advertisement must include research expectations. For specialist positions, the duties that support the function type (For example: Outreach, Advising, etc.) should be listed at the beginning of the job duties.
Qualifications: Must meet or exceed the University's minimum qualifications for the rank. See "University Approved Academic Position/Ranks."
Applications: The Application due date can be no earlier than two weeks after the posting date. Leave enough time for the position request to be processed by department, college, Academic Human Resources and Provost Office (if applicable) plus the 2 weeks posting time when setting an application due date.
Commonly used phrases (Optional): "Late submissions will be considered if a suitable candidate pool is not identified by the deadline." Selecting the option will allow the posting to remain on MSU/HR’s website two months after the posted due date for fixed term postings and six months after the posted due date for continuing and tenure system postings.
Required Language will be pre-filled: “MSU is an affirmative-action, equal-opportunity employer. MSU is committed to achieving excellence through cultural diversity. The university actively encourages applications and/or nominations of women, persons of color, veterans and persons with disabilities."

Signatures: Approval by the Office of the Provost is required only for positions that include (or may include) the award of tenure, Executive Management and positions with exceptions to guidelines (including specialists) and degree requirements. Signatures must be the chairperson/director's and dean/MAU administrator's name with any other initials below. In the case of a multiple appointment the signatures for each unit involved are required. Each signer must date her/his signature.
The signature of the chairperson/director’s and dean/MAU administrator’s signatures confirms the accuracy and consistency of the posting text, and that the following statements are true:
- Space is available in the college/department/school for the position.
- Position description and qualifications are consistent with applicable guidelines, degree requirements, etc.
- For tenure system/continuing system positions: Recurring salary funds are available within the college/department/school continuing base budget.
Note: Since the Pre-Populated Forms Application does have a “time out” feature, we suggest that you first work on your academic posting language in a word processing program such as Word, and then copy/paste the text into the appropriate form within the Pre-Populated Forms System.
Routing: Send the Academic Position Request with supporting documents, Academic Hiring Report Sections A, B, and C, and (for Specialists only) the Specialist Position Description to Academic Human Resources.
