Resignation - Voluntary Termination
PolicyApplies to: University support staff
- Nurses, APSA, APA employees are expected to give their supervisors notification of their intent to terminate at least one month in advance.
- All other employees are expected to give supervisors at least two weeks notice.
Procedure
Personnel Action Notice (PAN) form:
Department: Prior to the effective date of termination, the employing department completes the Personnel Action Notice (PAN) form including:
- last day worked,
- effective date of termination,
- reason for termination,
- vacation accruals,
- employee signature or letter of resignation, and
- required signatures.
Termination pay:
- Pay for hours worked, compensatory time and unused vacation accruals is included in the employee's final paycheck on the next scheduled pay date. (VARIES: CTU employees remain on the payroll until vacation accruals are paid off.)
- Employees may request payment on their last day of work by special request noted on the PAN form. (NOTE: Discharged employees are paid on the last day of work or as soon as possible thereafter. See Policy and Procedure for Disciplinary Action.)
Benefits:
MSU Human Resources Benefits: Sends a letter concerning rights and benefits of a terminating employee.
Employee:
- Returns all University equipment, records, books, property, and settles all outstanding accounts, including:
- accounts receivables,
- student accounts receivables,
- parking violation fines, and
- library fines.
- On last working day, employee is to:
- return University keys,
- return parking decal(s) and gate card,
- return University uniforms,
- return ID card,
- return credit cards
- remove all personal items and
- complete a Termination-Separation Checklist.
